Forecourt automation for African fuel stations

Every litre accounted for, from the tank to the till.

EziFuel OversightPro connects your tanks, pumps and attendants to one live record. Pumps dispense only what is authorised, tanks report their own levels, and every shift closes against what the meters actually measured. It works alongside the equipment and systems you already have.

Illustrative figures. Each line in a real close links to the attendant, the nozzle and the time it was recorded.

Where the money goes

Most stations lose fuel in four places, and the paperwork hides all of them.

Small gaps at each step add up to a meaningful share of a station's margin. Manual dips and handwritten shift sheets record what someone says happened, which is rarely what the equipment saw.

At delivery

Short drops and wet tanks pass unnoticed when nobody can see the level change while the truck is still on site.

In the tank

Slow leaks, water ingress and quiet withdrawals only show up weeks later, at the next manual reconciliation.

At the pump

Fuel dispensed without a sale, or recorded at the wrong price, when pumps run without authorisation.

At the till

Cash-up figures that cannot be tied back to what each nozzle actually measured during the shift.

Works with what you already have

Already invested in pumps, tank gauges or your own systems? Keep them.

EziFuel OversightPro is built to support and complement the infrastructure fuel stations and oil marketing companies already run. It connects to what is there, fills the gaps, and checks every source against the others, so nothing you have paid for goes to waste.

For fuel stations

  • Your existing pumps stay in service, electronic or mechanical
  • Tank gauges you already own report into the same record
  • Your receipt and tax-invoicing devices keep working as they do today
  • Manual dips stay part of the routine, now checked against the probes automatically

For oil marketing companies

  • Runs alongside the monitoring and automation you have built or bought
  • Brings every dealer site into one view, whatever equipment each one has
  • Compares your remote readings with what dealers record on site, and flags any gap
  • Exports clean, traceable data to your finance and ERP systems

One independent record that agrees with your equipment, or tells you exactly where it doesn't.

How it works

One controller on site. One record in the cloud.

A small forecourt controller links your pumps and tank probes. It talks to the EziFuel station app and sends every measurement to your dashboard, over ordinary mobile data. If the signal drops, it keeps recording and catches up when it reconnects.

What it does on your forecourt

Control at the pump. Truth in the tank. A close you can trust.

Pump authorisation

Attendants start each sale from the app. Pumps dispense only what has been authorised, and every litre is tied to a person and a nozzle.

Automatic tank gauging

Probes report fuel level, temperature and water in every tank, around the clock, with volumes calculated from your tank charts.

Delivery verification

The system detects each delivery as it lands in the tank, so the volume received is checked against the delivery note before the truck leaves.

Leak and loss alerts

Unexplained level drops, water in the tank and pumps running outside a sale raise an alert the moment they happen, not at month end.

Shift close from the meters

Opening and closing readings come straight from the pumps. Cash-up is compared with what was actually dispensed, attendant by attendant.

Attendant tags

A tap of a personal tag identifies the attendant at the pump. No shared logins, no disputes about who served the customer.

Fleet vehicle recognition

Company vehicles are identified at the pump and fuelled against their account and limits, with no cash or cards changing hands.

Price changes in one step

Set a new price once and send it to every pump and price board on the site, with a record of when each one updated.

Dip and probe, side by side

Keep your manual dips. Every dip is recorded next to the probe reading for the same tank and time, and any gap between them is flagged automatically.

Getting started

Onboarding designed around a station that never closes.

We are onboarding our founding stations now. Each one gets a dedicated setup team, so we schedule sites in planned groups. Book your survey and we will confirm your slot.

  1. Send us your forecourt

Share photos of your pumps, tanks and kiosk on WhatsApp. We confirm what fits before you commit to anything.

  2. Site survey

We visit, check pump models and tank access, and agree the level that targets your biggest loss.

  3. Fit while you trade

Certified technicians install the kit one pump and one tank at a time. Your station keeps selling throughout.

  4. Train and go live

Your team learns the app on shift, with us beside them. Your dashboard starts filling from the first sale.

Questions owners ask

Before you book

We already have tank gauges, or our own monitoring system. Do we need this?

Keep them. EziFuel is built to sit alongside what you already have, not to replace it. Your gauges, your manual dips, your pump meters and your till each tell part of the story. We bring them into one independent record and compare them every shift.

That comparison is where losses show up. Gauges drift out of calibration, dipsticks get misread, a delivery gets logged against the wrong tank, a sale goes unrecorded. Careful operators already check gauge readings against manual dips for exactly this reason. EziFuel does that check for you automatically and shows where the readings disagree, by how much, and since when.

At the site survey we look at the equipment you already have, and we only recommend something new where there is a real gap.

Do my attendants each need a phone?

No. Buying and replacing phones for a whole forecourt team is a real cost, so we designed around it. You choose for each station:

  • Tag at the pump. With pump control fitted, each attendant carries a personal tag. They touch it to the reader to unlock the pump, and every litre is recorded against their name. No phone involved.
  • One shared device. Without pump control, one device per station is enough, and it can be the receipt device you already use.

Managers and owners use the phones or computers they already have. You can run tags at one station and a shared device at another.

Do I need to replace my pumps?

Usually not. Most modern electronic dispensers can report to a forecourt controller over their existing data connection, and many older electronic pumps can be connected with an interface board. Fully mechanical pumps are the hardest case. Some can be fitted with a sensor that counts litres; others are better left on manual readings until they are due for replacement.

We never adjust your pump meters or break their verification seals. The site survey records the make and model of every pump and tells you which can be connected and how, before you spend anything.

Does installation stop my business?

No. Technicians work on one pump or one tank at a time while the rest of the forecourt keeps selling. On most tanks the level probe goes in through an existing opening on the tank, so no digging is needed. If a tank has no spare opening, the survey will tell you what is required.

Each pump being connected is paused only while it is wired in and tested. Work is done by certified installers following fuel-site safety rules, with power isolated on the equipment being worked on. Before anything starts you receive a plan showing which pump or tank is affected and when, so it can be scheduled around your busy hours.

Can I start small?

Yes, and we recommend it. Start with the tanks and pumps where losses hurt most, see the numbers for yourself, then extend. Pump control can be added later on the same app without redoing earlier work.

Small losses matter more than they look. Published industry guidance notes that a steady loss of just 10 litres a day adds up to more than 3,600 litres a year, and losses that size are very hard to spot with daily dips alone. Starting on your worst tank shows you quickly whether it is happening at your site.

How accurate is tank monitoring compared with a dipstick?

A level probe reads the tank continuously, far more finely than a dipstick can be read by eye. It also measures fuel temperature and detects water collecting at the bottom of the tank.

Temperature matters because fuel expands and contracts. Petrol changes volume by roughly 0.1% for every degree Celsius, so in a 30,000 litre tank a ten degree swing between a cold morning and a hot afternoon can move the reading by around 300 litres with no fuel lost at all. Without temperature, a once-a-day dip cannot tell that apart from a real loss. The probe can.

Dips still have a place. Many operators keep them as an independent cross-check, and EziFuel records both side by side.

What changes at shift close?

With pump control fitted, the system reads the pump totals itself at the start and end of each shift, so nobody copies meter readings onto paper. You see litres sold per pump and per attendant, the cash expected, and the movement in each tank, together on one screen.

Without pump control, attendants enter their readings in the app and EziFuel checks them against what the tanks say. Either way, closing a shift becomes confirming figures rather than reconstructing them.

Will my attendants feel watched?

The system protects honest attendants. On many forecourts, when cash and meters do not match at the end of a shift, the attendant on duty is made to pay the difference, even when the real cause is a faulty meter, a delivery logged to the wrong tank or a rushed handover.

When every litre is recorded against a named attendant and a named pump, a shortage can be traced to its real cause. Good attendants get a clean record, and disputes are settled with facts.

What if the internet or the power goes down?

Internet. With the station kit, the controller in your kiosk does its work on site. Pumps keep running and every sale, tank reading and delivery is stored locally, then uploaded automatically when the connection returns. Mobile data coverage at your site is checked during the survey.

Power. Your pumps need mains or generator power as they do today. We recommend a small backup power unit for the controller so it keeps recording through power cuts and generator switchovers.

Who owns the data?

You do. Your station records belong to your business. You decide who in your company can see them, from a single station manager up to head office, and each person signs in with their own account and role.

We do not sell your data or share it with anyone for marketing. Personal information, such as attendant names, is handled in line with data protection law.

How is it priced?

There is no single price list, because no two stations are the same. The number of pumps and tanks, the pump models and the level you choose all change the picture.

After the site survey you receive a written quote that separates one-off costs, such as equipment and installation, from the ongoing service. We size it around the losses we find at your site, so you can weigh the cost against what it recovers. We are onboarding our first stations now, and early partners receive our best terms.
